How we handle and protect your information

Last updated: December 2024

Look, we get it - nobody really enjoys reading legal stuff. But we're not into hiding things in fine print. Here's the honest rundown of how we treat your personal info at Jade Venthilora Architecture.

01

What We Collect

When you reach out to us or work with us on a project, we'll typically collect:

  • Your name, email, and phone number - pretty standard stuff
  • Property details and project specifications when you're inquiring about our services
  • Payment info if we're working together (though our payment processors handle the heavy lifting here)
  • Any preferences or requirements you share during consultations
  • Site visit photos and property measurements for active projects

We're not gonna collect anything we don't actually need. Your info isn't some commodity to us.

02

How We Use Your Information

Your information helps us do our job properly:

  • Responding to your inquiries and providing quotes
  • Designing and managing your architectural projects
  • Keeping you updated throughout the design and construction phases
  • Processing contracts and invoices
  • Improving our services based on client feedback
  • Sending occasional updates about our work (only if you've said that's cool)

We won't sell your data to third parties. That's not our style, and honestly, we find that practice pretty gross.

03

Who Gets Access

We keep your info pretty close to the chest, but sometimes we need to share with:

  • Our team members directly involved in your project
  • Contractors and consultants working on your design (structural engineers, etc.)
  • Payment processors for billing purposes
  • Legal or regulatory bodies if required by Canadian law
  • Cloud storage providers who host our secure project files

Everyone we work with is bound by confidentiality agreements. We're careful about who we trust with client information.

04

Cookies & Website Tracking

Our website uses cookies - basically tiny files that remember stuff about your visit. We use them for:

  • Keeping track of your session if you're navigating between pages
  • Understanding which pages people find useful (analytics)
  • Making sure the site displays properly on your device

You can disable cookies in your browser settings, though some features might not work as smoothly. We use Google Analytics to see how people use our site, but it's anonymized data.

05

Your Rights

Under Canadian privacy laws (PIPEDA and BC's PIPA), you've got some solid rights:

  • Access: You can ask to see what info we've got on you
  • Correction: If something's wrong, we'll fix it
  • Deletion: Want us to delete your data? Just ask (though we might need to keep some stuff for legal reasons)
  • Opt-out: Unsubscribe from our emails anytime
  • Portability: Get a copy of your data in a usable format

To exercise any of these rights, shoot us an email at contact@jadeventhilora.info or give us a call. We'll handle it within 30 days.

06

How We Protect Your Data

Security matters to us. Here's what we do:

  • Encrypted connections (SSL) for all data transmission
  • Secure cloud storage with reputable Canadian providers
  • Password-protected systems and regular security updates
  • Limited access - only team members who need it get access to client data
  • Regular backups so nothing gets lost

No system's 100% bulletproof, but we take reasonable precautions to keep your info safe.

07

How Long We Keep Your Info

We don't hoard information forever. Here's our general approach:

  • Active project files: Duration of the project plus 7 years (standard for architectural records in Canada)
  • Inquiry information: Up to 2 years if we haven't heard back from you
  • Financial records: 7 years as required by Canadian tax law
  • Marketing communications: Until you opt out

After these periods, we'll either delete or anonymize your data unless there's a legal reason to keep it longer.

08

Portfolio & Project Photos

We love showcasing our work, but we always ask permission first before featuring any completed project in our portfolio, website, or promotional materials.

If you've given us permission to use project photos and later change your mind, just let us know. We'll remove them from public view. Sometimes there's a lag with printed materials or third-party sites, but we'll do our best.

09

Third-Party Links

Our website might link to other sites - supplier catalogs, inspiration boards, partner organizations, that sort of thing. We're not responsible for their privacy practices, so check their policies if you're clicking through.

10

Changes to This Policy

We might update this policy occasionally - new laws, changes in how we work, that kind of thing. When we do, we'll update the date at the top and post the new version here.

For major changes, we'll send an email to active clients. For minor tweaks, checking back here once in a while isn't a bad idea.
